Meetings that
just start.

Meeting room and workplace audio visual: displays, cameras, microphones, and room booking, specified so a meeting starts on time without anyone hunting for an adaptor. It is for organisations where hybrid meetings are normal and the rooms have not caught up.

The first five minutes of most meetings go on getting the room to work. Multiply that by every meeting, every week, by everyone sitting in it.

The cost of leaving this alone is rarely one visible failure. It is the slow accumulation: the workaround that became the process, the thing only one person knows, the renewal nobody questioned.

Our starting point is always the same: establish what is actually true today, then decide what to change. Work scoped against an assumption tends to solve a problem you do not have.

  • 01Nobody designed itThe room was assembled from what was available: a television, a soundbar, a webcam on top, and a cable that has gone missing.
  • 02It has to work every time and it does notA room that fails one meeting in five is a room people stop booking, which quietly wastes the entire space.
  • 03The wrong platform is always the problemYour rooms handle your own meetings and fall apart the moment a client sends a link from a different platform.
  • 04People in the room cannot be heardOne microphone covering a table of eight, so remote attendees hear whoever is nearest and guess at the rest.

What the engagement covers

Scoped before it starts, so you know what is included and what is not.

  • 01

Works with whatever platform is in the invite

Teams, Zoom, Google Meet, Webex. Your rooms should join your clients’ meetings as easily as your own, because you do not get to choose which platform a customer uses.

  • 02

    Room design

Camera, audio, and display specified for the size and shape of each room. A kit that suits a four-person huddle room is the wrong answer in a boardroom, and one specification everywhere is how you end up with both.

  • 03

    One-touch join

Meetings start from a button in the room, without a laptop, a cable, or a search for the right adaptor.

  • 04

    Support and monitoring

Rooms monitored so a failed display or an offline camera is noticed and fixed before the meeting, rather than discovered during it.

Assess, deploy, operate, review

Four stages with a written output at each one. You always know which stage you are in and what comes next.

  1. 01Week 1

    Assess

We document what exists today and what it needs to do, so the work is scoped against reality rather than assumption.

  2. 02Weeks 2 – 4

    Deploy

Changes are made in a planned sequence, outside working hours where disruption would otherwise land on your staff.

  3. 03Ongoing

    Operate

It is monitored and maintained as part of your agreement. Problems are ours to notice, not yours to report.

  4. 04Quarterly

    Review

What it is costing, whether it still fits, and what should change before the next renewal.

What you should expect

  • Someone other than you owns it, with that written down.
  • The current state is documented and stays documented.
  • Cost is planned ahead rather than discovered at renewal.
  • Decisions are made against evidence rather than assumption.

Questions we get asked

01What is office AV?

Meeting room and workplace audio visual: displays, cameras, microphones, and room booking, specified so a meeting starts on time without anyone hunting for an adaptor. It is for organisations where hybrid meetings are normal and the rooms have not caught up.

02Will your meeting rooms work with Zoom and Google Meet, or only Microsoft Teams?

All of them. We specify rooms so they join whatever platform is in the invitation, because you do not control which one a client uses. A room that only handles your own platform sends people back to a laptop on the table the moment an external meeting comes in, which defeats the purpose of having built it.

03How much does it cost to fit out a meeting room?

A small huddle room with a single display and an all-in-one video bar is a straightforward job. A boardroom with dual displays, ceiling microphones, a tracking camera, and proper acoustic treatment is several times that. The cost is driven by room size and how many people need to be clearly heard, so we quote per room rather than applying one figure across a floor.

04Why can remote attendees never hear people in the room properly?

Because one microphone is covering a table it was never designed for, usually in a room with hard surfaces and no acoustic treatment. Audio is the part that decides whether a hybrid meeting works, and it is the part most often under-specified. Larger rooms need ceiling or table microphone arrays that cover every seat, and rooms with glass on two sides need treatment as well as equipment.

05Do we need a dedicated room system, or is a laptop and a good webcam enough?

For two or three people in a small room, a laptop and a decent video bar is genuinely fine and we will tell you so. Beyond about four people it stops working: the camera cannot frame the table, the microphone cannot reach the far end, and someone has to own the laptop. That is the point where a room system pays for itself in meetings that start on time.

06Can you upgrade the rooms we already have rather than starting again?

Usually yes. Displays and mounts often have years left in them, and the failure is in the camera, the audio, and the lack of a proper join experience. We will assess what is worth keeping and tell you plainly where an upgrade is good money after bad.

07What about digital signage and shared spaces?

Same system, same management. Reception displays, wayfinding, room booking panels outside each door, and staff communication screens can all run from one platform with one place to update them, which is the difference between signage that stays current and signage showing a Christmas message in March.

08How much does office AV cost in New Zealand?

We quote after scoping rather than before. Anyone pricing this work without looking at your environment is guessing, and the guess is rarely in your favour. Scoping itself is quick, and we tell you what it costs before we start it.

09How long does it take to get started with office AV?

A first conversation takes about half an hour and costs nothing. Scoping is usually a week or two of our time depending on the size of the environment, and we agree the delivery dates with you before anything is booked in.

10Can you deliver office AV alongside our existing IT team or provider?

Yes, and it is common. We are happy to work as an extra pair of hands under your internal team, or alongside an incumbent provider on a defined piece of work. We will set out in writing where the responsibilities split, so nothing falls between us.

11Do we have to move all of our IT to Atlas to get this?

No. This can be delivered as a standalone piece of work for an organisation we have never worked with before, or folded into a managed agreement if you already have one with us. Plenty of clients use us for one thing and keep everything else where it is.

12Do you only work with Auckland businesses?

Our team is based in Auckland and we attend sites across the wider region. Most of this work is delivered remotely, so we support organisations throughout New Zealand, and we will say up front where being on site genuinely matters.

13Who will we actually be dealing with day to day?

Named people, not a queue. You get a lead who knows your environment and stays with it, which is the difference between explaining your business once and explaining it every time you make contact.

14What happens if we want to leave?

You keep the documentation regardless, and anything registered in your name stays in your name. Whether we stay involved is your call. Some clients take it in house from there, others move it onto an ongoing agreement with us. We would rather you left cleanly than stayed because leaving was difficult.

Start with a conversation.

Tell us what you are dealing with and we will tell you whether this is the right service for it, and what it would take.
