Most organisations meet Dynamics as a CRM, buy it as a CRM, and never discover that the platform they are already paying for could replace three other systems.

The cost of leaving this alone is rarely one visible failure. It is the slow accumulation: the workaround that became the process, the thing only one person knows, the renewal nobody questioned.

01What is Dynamics 365?

It is for organisations outgrowing spreadsheets, running a CRM nobody updates, or holding a Dynamics licence they are using a fraction of.

02Is Dynamics 365 just a CRM?

No, and this is the most common misunderstanding about it. Dynamics 365 is a family of applications sharing one data platform. Sales and Customer Service are the ones people know. Alongside them sit Field Service for mobile workforces, Business Central for finance and operations in small and mid-sized businesses, Finance and Supply Chain for larger enterprises, and Project Operations for services firms. They share data, so a customer record is genuinely the same record across sales, service, and invoicing rather than three copies that disagree.

03Which Dynamics 365 applications do we actually need?

That is the first question we answer, and the answer is usually fewer than a licensing conversation suggests. A professional services firm might need Sales and Project Operations. A wholesaler might need Business Central and nothing else. A field maintenance business might need Field Service and Sales. We scope against how you make money, then licence to that, because the whole suite bought speculatively is money spent on applications nobody logs into.

04What is the difference between Business Central and Finance and Operations?

Business Central is the mid-market system, covering finance, inventory, purchasing, and sales for organisations up to a few hundred users, and it is where most New Zealand businesses should be looking. Dynamics 365 Finance and Supply Chain is the enterprise platform, with the capability and the implementation cost to match. Choosing the enterprise product for a mid-market business is one of the more expensive mistakes available in this category.

05Should we choose Dynamics 365 or Salesforce?

Both are strong platforms. Dynamics tends to win where you are already invested in Microsoft, because the integration with Outlook, Teams, SharePoint, and Power BI is native rather than bolted on, the licensing often works out better alongside existing Microsoft agreements, and your staff are already in those tools every day. Salesforce has a larger third-party ecosystem. We implement Dynamics and we will tell you where it is not the right fit rather than talking you into it.

06How much does a Dynamics 365 implementation cost and how long does it take?

Licensing is per user per application and is the smaller number. Implementation is the larger one, and industry-wide it commonly runs at several times the annual licence cost, with mid-market projects typically measured in months rather than weeks. The biggest drivers are how much customisation you need, how many integrations, and the state of the data being migrated, which is almost always underestimated. We scope properly and quote against your environment rather than against an average.

07Can you fix or take over a Dynamics implementation somebody else did?

Yes, and we do it regularly. The usual findings are customisation done in ways that now block upgrades, security roles granting far more than intended, workflows nobody can explain, and unused applications still being licensed. We assess it, tell you what is worth keeping, and put the remediation in an order that does not stop you trading while we do it.

08Will it work with our existing finance system?

Usually yes. Dynamics integrates with common finance platforms, including Xero and MYOB, either through supported connectors or through the Power Platform. Whether it should is a separate question. Where Business Central would replace the finance system entirely, running both is often a worse answer than consolidating, and we will show you both options costed.

09How much does Dynamics 365 cost in New Zealand?

We quote after scoping rather than before. Anyone pricing this work without looking at your environment is guessing, and the guess is rarely in your favour. Scoping itself is quick, and we tell you what it costs before we start it.

10How long does it take to get started with Dynamics 365?

A first conversation takes about half an hour and costs nothing. Scoping is usually a week or two of our time depending on the size of the environment, and we agree the delivery dates with you before anything is booked in.

11Can you deliver Dynamics 365 alongside our existing IT team or provider?

Yes, and it is common. We are happy to work as an extra pair of hands under your internal team, or alongside an incumbent provider on a defined piece of work. We will set out in writing where the responsibilities split, so nothing falls between us.

12Do we have to be an existing Atlas client to start a project?

No. This can be delivered as a standalone piece of work for an organisation we have never worked with before, or folded into a managed agreement if you already have one with us. Plenty of clients use us for one thing and keep everything else where it is.

13Do you deliver projects outside Auckland?

Our team is based in Auckland and we attend sites across the wider region. Most of this work is delivered remotely, so we support organisations throughout New Zealand, and we will say up front where being on site genuinely matters.

14Who from Atlas will be on the engagement?

Named people, not a queue. You get a lead who knows your environment and stays with it, which is the difference between explaining your business once and explaining it every time you make contact.

15What happens when the engagement ends?

You keep the documentation regardless, and anything registered in your name stays in your name. Whether we stay involved is your call. Some clients take it in house from there, others move it onto an ongoing agreement with us. We would rather you left cleanly than stayed because leaving was difficult.
